Eagle Hill School

Student Spending, Kiosk, Tuition Remittance and Counseling Accounts
Terms & Conditions

HOW TO GET AN EHS Student ID Barcode: Eagle Hill School Residence Life staff will have Student ID barcode stickers to apply to residence room cards. During the early days after the start of school we can show students how to set a bookmark to access an electronic version of the barcode on their mobile phones. They should only use a mobile phone for access if they use a passcode or fingerprint to control access to the phone.

CARRY YOUR ID: Always carry your mobile phone or residence card to have the ID with you. It is required to get cash at the kiosk and to pay for transactions at the student store with your student spending account.

PROTECT YOUR ID: You are responsible for maintaining a valid barcode ID that is in proper working condition whether on your phone or on a residence hall badge.

LOST OR STOLEN ID CARDS must be reported immediately by contacting the Residence Life Office or Business Office. Or, you can log into your account at Eagle Hill School for Students and use the link to report your card as lost or stolen. Reporting lost or stolen cards immediately will block unauthorized spending and use of the lost or stolen card. If you don't have your card or phone, someone else might. There may be a replacement fee for lost or stolen cards.

OPENING A STUDENT SPENDING ACCOUNT: All students must have a Student Spending Account. To access your account and make online payments, register online at Eagle Hill School, set up bank payment and credit card credentials. At your discretion you may store Bank ACH information and/or Credit Card information in an encrypted, off-site server with CyberSource, our payment gateway. All balances from our prior system will be made available at the start of the school year. If you cannot access your account please call the business office (413)477-6000 - Donna Holden (x1214) or Dawn Raymond (x1217).

TUITION PAYMENTS, STUDENT SPENDING, KIOSK OR COUNSELING TRANSACTIONS: Transactions with all accounts are usually instantaneous, but occasionally may be delayed due to network traffic. If your student spending account reaches the minimum threshold of $300, we will automatically replenish $500 if you authorize us to do so at the start of the year. If you do not authorize auto-replenishment, then we will notify you of a low account balance via e-mail. When the account reaches $100, all activities and Kiosk activity will be halted until sufficient funds are on deposit. This may incur a significant delay. If, for any reason, the account goes negative such as manual charges posted that make the account overdrawn, then we expect this to be cleared within 5 days.

KIOSK ACCOUNT: Parents may authorize a weekly allowance amount which we will post to a Kiosk account each Thursday evening. Students may go to the cash terminal and use their ID code along with a pin (that they choose) to get some or all of what is in their Kiosk account. If a parent wants their child to have additional money they may log on and transfer funds from student spending to the kiosk account. The funds will be immediately available.

TUITION AND SPEECH SERVICES: Parents may remit payment for their tuition account and speech services via this platform. During setup of the account saving Bank and Credit Card information (encrypted by default) will allow ease of future transactions. You can always select payment method from the information you choose to store.

AUTHORIZED & UNAUTHORIZED USE: Only you are authorized to use your EHS Student ID Barcode to make purchases using funds from your Student Spending Account - or to make cash terminal withdrawals from your Kiosk account. For mobile phone users, it is expected that you will have a means to secure your phone via passcode or fingerprint to prevent unauthorized use. Any unauthorized use of a student ID code constitutes fraud. You must present your ID at the time of purchase, and this is the only means of accessing your Student Spending Account for purchases.

TRANSFERABILITY: Student Spending funds are not transferable to other accounts.

LIABILITY: Eagle Hill School is not responsible for any loss due to lost mobile phones or residence cards, or the unauthorized use of cards; provided, however, that once a card is reported lost or stolen (see "Lost or Stolen ID Cards", above), the holder's liability will end within 2 business days after such report has been received by the Residence Life or Business Office.

NO INTEREST OR OTHER EARNINGS will be paid to the Student Spending, Kiosk or Counseling Account holder for balances on deposit.

ACCOUNT CLOSURE & REFUNDS: When you leave Eagle Hill (upon graduation or permanent withdrawal), you may close all Accounts. Your remaining unused balance will be refunded to you. Refunds can take 4-6 weeks to get all final charges posted.

RULES & RESPONSIBILITIES: By registering for online access to your Student Spending Account, making deposits to your Account, and/or using your Account, you will be agreeing to the above Rules & Responsibilities of the Eagle Hill Student ID, Student Spending and Kiosk Accounts, including the Terms & Conditions.
